Condominium Management Services


Condominium Suite of Services Offered by Prime Property Management

 

Administration

  • Collect Condominium Fees
  • Prepare Estoppels and Condominium Documents for Real Estate Transactions
  • Facilitate building key procurement as required
  • Conference room available for board meetings

Bookkeeping & Accounting

  • General Bookkeeping based on (GAAP) Generally Accepted Accounting Practices & Pay Invoices
  • Tailored, user friendly financial statements
  • Open and maintain general and capital reserve trust accounts for the corporation
  • Prepare and distribute complete financial statements inclusive of paid invoices to each board member monthly  

Maintenance Coordinator

  • Maintain an up to date list of contactors to be used for various maintenance issues
  • Arrange Annual Fire Inspections and Fire Hydrant Inspections/Maintenance as required by the City Fire Department
  • Order maintenance by licensed contractors as required (i.e. Electrical, Plumbing, and Mechanical)
  • All maintenance calls during business hours will be handled at the Prime Office
  • Prime Property Management only contracts out quality trades personnel who are prompt to respond when work orders are issued
  • The maintenance department ensures a job is completed to satisfaction before an invoice is paid
  • Prime Property Management will also coordinate after-hours emergency service for flooding, fire, heating and any other emergency that requires an immediate response (not lock outs)

Condominium Relations

  • Provide ongoing support and guidance to the board to assist in effective running of the corporation
  • Notify Land Titles of Director changes when applicable
  • Coordinate and attend Annual General Meetings as directed by the board
  • Prepare budgets for board review and approval
  • Prepare and distribute to the board a 6 month budget review
  • Arrange for Reserve Fund Studies to be carried out as per the Condominium Property Act and as directed by the Board
  • Arrange for Appraisals to be conducted as directed by the board
  • Facilitate tenders and hiring of Contractors at the direction of the board
  • Work with the board on tendering items such as contracts
  • Work with the board and Prime Maintenance Department to compile and keep track of current and upcoming maintenance projects
  • Arrange for adequate insurance as per the Condominium Property Act and as directed by the Board
  • Arrange for Financial Audits as per the Condominium Act, current Condominium Bylaws and as directed by the Board
  • A Prime Property Management Representative will attend board meetings as available, and provide information and professional advice on best Condominium Association Practices

Grounds Keeping

Prime will work with the Board to find the most dependable and cost effective contractors

  • Lawn cutting, weekly or as needed (weather permitting)
  • Edging and trimming of shrubs and/or flower beds
  • Weed control (materials and chemicals extra as required)
  • Parking lot sweeping

Snow Removal

Prime will work with the Board to determine exact scope of work and find the most dependable and cost effective contractors. The biggest factor will be seasonal snowfall levels, and the expectations of the association.

  • Snow and ice control for sidewalks, ramps and parking lots

Maintenance (as per Board Direction and Budget)

Prime has 2 Carpenters on staff and will work with the board to find reliable, properly certified, and cost effective contractors.

  • Fence repairs and materials
  • Common area repairs and materials
  • Winterize irrigation system
  • Commission/start-up lawn sprinkler system in the spring

Other services may be rendered upon request at an additional charge

  • Work with insurance adjusters when a claim is filed i.e. provide quotes
  • Administration of funds borrowed to pay for substantial renovations, tracking owners loan shares
  • Provide advice to board/owners regarding substantial renovations to the building envelope
  • Respond to accountants questions regarding a financial audit
